Questions regarding the use of ²µ±ð²Ô±ð°ù²¹³Ù¾±±¹±ðÌýAI tools in UWA communications, marketing, branding, or creative content may be directed to the UWA Office of Communications & Marketing.

Generative artificial intelligence (AI) tools are becoming increasingly common in all sectors, including higher education and UWA communications. The babyÖ±²¥ supports responsible and thoughtful use of these technologies while maintaining standards for accuracy, integrity, accessibility, and brand representation.

Generative AI should be used as a tool to assist human work, NOT replace or forego human judgment, review, or accountability.

Guiding Principles

Brand Integrity
& Alignment

All designed content should strengthen the babyÖ±²¥â€™s identity, reputation, and storytelling efforts. AI-generated content must align with the UWA branding and communication standards.

Authenticity & Representation

AI-generated content should accurately and authentically represent the babyÖ±²¥, its people, programs, facilities, and experiences. Authenticity should remain a priority when creating content on behalf of UWA.

Accuracy & Accountability

Generative AI tools should support human judgment, not replace it. Visual content created with generative AI tools should be reviewed for accuracy, clarity, and alignment with the babyÖ±²¥ standards before publication or distribution.

Brand Representation

Do not publish or distribute AI-generated content that does not align with the babyÖ±²¥â€™s brand standards.

All content should reflect UWA’s brand standards and accurately represent the institution, its students, faculty, staff, and campus community. Ensuring this is not lost requires proper input and guidance to be specified by the user. If generative AI assistance is used in content creation, review and approval are also still necessary. 

Use of AI-generated content that is not brand compliant or that inaccurately depicts brand assets can damage UWA’s credibility, reputation, or public trust.

Logos & Visual Identity

Do not use AI tools to recreate, modify, imitate, or generate official babyÖ±²¥ logos, wordmarks, spirit marks, or other protected brand assets.

  • Do not upload official UWA logos, wordmarks, athletic marks, brand fonts, color palettes, or other protected brand assets into generative AI platforms for modification, recreation, or derivative design work. AI systems may alter, reinterpret, or inaccurately reproduce UWA branding, resulting in materials that do not meet established brand standards.
  • AI-generated designs should be developed with UWA’s visual identity in mind. Generative-AI may be used to assist with layouts, graphic concepts, presentations, and other creative materials. Official logos, wordmarks, and other brand assets should be added using approved files after the AI-generated design assistance process is complete.
  • Do not create unofficial or misleading versions of UWA brand assets.

Do not use generative AI to duplicate official UWA brand assets. Even when results appear nearly correct, AI-generated versions may contain subtle changes that compromise brand integrity.

Do not create new logos, marks, or identifiers for colleges, departments, divisions, offices, or programs.

Images & Video​

Do not create or distribute AI-generated media that misrepresents the babyÖ±²¥ or its community.

UWA considers authenticity a cornerstone of its brand and its various representations across all platforms. The Office of Communications & Marketing maintains a robust archive of stock photography, video, and other visual assets that authentically and accurately depict the UWA community and its programs.

Avoid use of AI-generated depictions that do not accurately and authentically represent UWA. This includes AI-generated depictions of UWA students, faculty, staff, alumni, or visitors, as well as AI-generated representations of campus events, academic activities, research, student life, or UWA experiences that did not occur or do not exist in the UWA community.

AI-generated imagery used for illustration, concept development, or creative purposes should be clearly identified when there is a reasonable expectation that audiences may interpret it as authentic.

Editable Design Workflow

When choosing Generative AI tools, look for one that supports an editable design workflow rather than static output. 

When using g±ð²Ô±ð°ù²¹³Ù¾±±¹±ðÌýAI to create graphics, presentations, flyers, or other visual materials, choose platforms that allow designs to be reviewed and edited before publication.

Whenever possible, AI-generated layouts should be imported into an editable application where text, imagery, colors, typography, spacing, and branding elements can be refined.

Tools and integrations that support editable workflows—such as AI-generated designs that can be opened and modified in commonly used design platforms—are preferred over those that produce static, non-editable graphics.

Final materials should be reviewed to ensure:

  • Messaging is accurate and complete.
  • Official UWA brand fonts, colors, logos, and other visual assets are correctly applied.
  • The design complies with UWA brand standards before publication.

Copyright & Intellectual Property

Do not assume AI-generated content is free from copyright or licensing restrictions.

Users should ensure AI-generated materials comply with all applicable copyright law, licensing requirements, and UWA branding standards before publication or distribution.

Written Content

Do not publish AI-generated content on behalf of the babyÖ±²¥ or the program you represent without substantial human review and editing, including approval when necessary. 

AI-generated text or copy should not be considered authoritative, complete, or otherwise accurate without verification.

Do not rely on AI-generated content as a substitute for subject-matter expertise, institutional knowledge, or professional judgment.

Do not present AI-generated content as original reporting, firsthand experience, or verified information without appropriate review and validation.

Authenticity & Accuracy

Do not publish AI-generated content without reviewing it for accuracy, clarity, and appropriateness.

AI-generated content may occasionally contain inaccurate, misleading, or outdated information. All content intended to represent UWA or its programs as a means of marketing or official communications should be reviewed by the Office of Communications & Marketing prior to publication or distribution.

Do not present AI-generated content as verified fact without confirmation.

Accessibility

Do not publish AI-generated content without reviewing it for accessibility.

Content should follow accessibility standards and should be reviewed to ensure readability and appropriate accessibility features, such as captions and alt text.

Acceptable Uses Related to Content Creation

AI tools may be useful to support productivity, creativity, research, communication, and administrative tasks related to visual content creation when appropriate human oversight is maintained.

Examples may include:

  • Brainstorming ideas and solutions
  • Developing sketches, frameworks, and first drafts
  • Improving style, readability, and tone
  • Generating content ideas and recommendations
  • Creating mockups, concepts, or visual inspiration
  • Supporting planning, organization, and workflow efficiency

AI should be used as a tool to assist human decision-making, not replace professional judgment, expertise, or established university processes.
